First, enroll for TheraClosure Retirement Coverage.

You meet with our clinician who is an expert in professional wills for a 1-hour consultation. Together we consider your situation to decide which Retirement Plan is best for you.

In the Consultation meeting, we help you choose a plan and gather all needed information:

Retirement Retainer Plan

After you retire, you continue to maintain your clinical records.  You ensure the secure storage and are available to provide access or to transfer records with an authorized request, and to field questions or referral requests from former patients.  But what if something happens to you?  Who will continue to honor your legal duties?

TheraClosure is on-call to be the Custodian of Records.

Retirement Executor Plan

You do not want to worry about storing records, keeping them secure, or responding to requests from former clients.

You choose to hand off all responsibility to TheraClosure now.  We take custody of your records and become the point-of-contact for former clients.

You name a personal representative who will be responsible for notifying TheraClosure in the event of your death and incapacitation.

The Retirement Professional Will names TheraClosure as your Practice Executor who would assume responsibility in case of your incapacitation or death during the required record retention period.

You get a free Password Manager to keep up-to-date logins and passwords to your professional digital systems.

Renew each year to keep us on retainer.

In your absence:
TheraClosure would assume custody of your records and make them available for transfer with authorization from the client, if needed in the future.

We would secure all electronic health records within TheraClosure’s HIPAA-compliant encrypted storage.*

TheraClosure would change your voicemail and website directing all enquiries to TheraClosure (and minimizing any attempts to contact you or your family).

If you wish, TheraClosure can notify specific former clients of your death.

Cinicians are available to assist former patients with referrals if they reach out.

*Any paper records must be digitized before TheraClosure can accept custody. We can work with you now or with your personal representative later if you prefer, to arrange for digitization. You or your estate are responsible for all costs of digitization.

The Retirement Practice Executor Agreement appoints TheraClosure to assume the Practice Executorship immediately.

We take custody of your records now for the full retention period required by law.

You pay now for the full duration of the retention period, calculated by the yearly fee X the number of years required, up to 7 years.  If you must retain records more than 7 years (i.e., for minors, for MedicareAdvantage, or because you state requires it, you will pay a one-time additional flat fee of $500.

We secure all electronic health records within TheraClosure’s HIPAA-compliant encrypted storage.*

We make records available for transfer with authorization from the client, if needed in the future.

Cinicians are available to assist former patients with referrals if they reach out.

If you wish, TheraClosure can notify specific former clients of your death.

And we have learned that when therapists rely on a trusted colleague to be their Practice Executor, the colleague will not have the time or resources to handle all the demands that are suddenly placed on them, and they will lack experience in the closing of a psychotherapy practice and managing patient care following traumatic termination. TheraClosure takes the burden off your colleagues who otherwise may scramble to inform clients who show up in the waiting room and to provide coverage and referrals. And, if you are covered by TheraClosure, you can rest assured knowing you have lined up compassionate grief-trained and business savvy clinicians using innovative tech solutions to be on retainer for you. 

As this is our sole responsibility, you can count on us to be available with the resources needed to jump into action for your practice. We have thought through every detail and put every effort into developing ways to get to know you and your practice demands. In the event of the unexpected we want you to be reassured that a caring clinician informed about you and your wishes will be contacting your clients and discussing how important you and your work has been to them, and offering guidance for next steps. 

Protect your clients from added trauma.

We believe that the therapeutic alliance is at the heart of all therapy, no matter your orientation, so we focus on that. Protecting positive and healing attachments is our goal, so that clients take with them the enduring benefits of their work with you. We approach patient conversations as your trusted colleague, with empathy and attunement, using information you have provided us about your style. We make clear that you would not have wanted your goodbye with them to be like this. In our experience, knowing that you have had the foresight to plan for their well-being leaves a lasting feeling of being cared for by you. 

Given the unique bond of the therapeutic relationship, vulnerable clients may be at risk if therapy is abruptly terminated. Their mental health may be impacted not only by the loss and perceived abandonment. Moreover, as it is often difficult for clients to identify and engage in alternative therapeutic care, their interrupted treatment may not be resumed. We notify, support, arrange referrals to appropriate therapists with immediate availability, and facilitate transfers so clients are supported in accessing needed care at this most difficult time. We provide peace of mind that you have done everything possible to ensure your clients’ gentle and thoughtful transition to continuing their mental health journey, even in your absence.

Without a Professional Will and Practice Executor in place, your grieving family may be the ones fielding clients’ demands for private health information, referrals, insurance information, and records- all things they may be unqualified to provide. And your family or estate may unexpectedly owe a significant fee to a colleague who steps in and charges their hourly rate to complete the executor duties.
