Patient perspective
“Thank you so much for your kindness and support after my therapist unexpectedly passed away. From your compassionate phone call letting me know of his passing to the time and care you took to understand my needs and recommend another therapist, your guidance made a very difficult situation much easier to navigate. Your recommendation proved to be an excellent fit. I am deeply grateful for your professionalism, thoughtfulness, and compassion. Thank you for helping turn a painful loss into a smooth and hopeful transition. This is a truly needed service. There is nothing cookie-cutter about it. It is so personalized and caring.”
Situation #1
Incapacitation Event
TheraClosure's Actions
- 01Spoke to family about what to tell patients, given her instructions in her will to be upfront about her situation.
- 02Changed voicemail, email, and websites.
- 03Accessed her SimplePractice calendar and exported all active clients, next appointments, contact information, and any specific directives noted. Turned off appointment reminders and autobilling.
- 04Generated a list of crisis resources in her area.
- 05Called patients, leaving voicemails cancelling upcoming appointments and requesting a callback.
- 06Called her supervisees and supervisor.
- 07Notified and supported patients, and encouraged referral — the therapist's wish was for them to have support during this time, which is why she put this plan in place for their care. Asked about referral requirements.
- 08Contacted her listed referrals, reached out to the State/Local Psychological Association, and posted referral requests on the listserv and TheraClosure's internal Referral Network.
- 09Matched each client to a therapist by insurance, treatment issue, modality, and more. Emailed each person a list of 2–3 available, appropriate referrals, documenting her leave of absence and Practice Executor coverage.
- 10Remain available for referrals, record requests, and updates. Next steps will be determined by the family's update.
Situation #2
Unexpected Death during Active Practice
TheraClosure's Actions
- 01Spoke to family, who relayed his history over the past few months. Discussed his instructions in his will to be upfront about the situation. A patient had called his wife to report a seizure during session. Discussed patient needs.
- 02His wife changed his voicemail and email, directing people to contact TheraClosure.
- 03She provided a list of current clients and contact information.
- 04Called patients, leaving voicemails requesting a callback.
- 05Notified patients of his death and provided support in often lengthy calls. Encouraged referral as the therapist's wish — he had put this plan in place for their care. Asked about referral requirements: insurance, in-person, and presenting issues.
- 06Contacted the State/Local Psychological Association to post referral requests on the listserv, posted on TheraClosure's internal Referral Network, and used local organizations' directories to contact therapists about availability, specialty, and insurance.
- 07Matched each client to a therapist by insurance, treatment issue, modality, and more. Provided each person 2–4 available, appropriate referrals by phone or email, documenting the Practice Executor's role: assisting with referrals, retaining records, and remaining available if records are needed in the future.
- 08Contacted the licensing board, malpractice insurance, and insurance panels.
- 09Notified past patients whose records required retention, in compliance with state law, and posted notices in the local paper three times according to regulations.
- 10Communicated with family regarding completed tasks.
